Data Deletion Request

This page explains how to ask Astramedica to delete the personal data we hold about you, what we delete, how long it takes, and what we are required to keep. It applies to everyone who has contacted us through this website or through our messaging channels on Facebook Messenger, Instagram Direct, or WhatsApp.

This page sits alongside our Privacy Policy, which describes in full what we collect and why. Nothing here narrows the rights that policy grants you.

Depending on how you reached us, we may hold:

• Contact and enquiry details — the name, email address, phone number and country you provided, and the service you asked about.
• Messaging history — the conversation you had with our patient care team on Facebook Messenger, Instagram Direct or WhatsApp, together with the platform-scoped identifier those services assign to you. We do not receive your Facebook or Instagram password, friend list, or any part of your profile beyond the name and identifier the platform passes to us when you write to us.
• Images you chose to send — photographs you voluntarily shared so a partner clinic could assess suitability.
• Text sent to the language-model provider — to answer you on Messenger, Instagram or WhatsApp, the assistant sends your conversation text to a language-model provider so it can pick the reply to send. That provider is engaged on settings under which the text is not retained, so no lasting copy of your conversation is held there.
• Coordination records — notes about scheduling, travel and consultation logistics, held in our customer relationship system.

Use whichever is easiest. Both reach the same team.

By email. Write to info@astramedica.com with the subject line "Data Deletion Request". Tell us which channel you contacted us on (website, Facebook, Instagram or WhatsApp) and the name or number you used, so we can find your record.

In the conversation itself. Reply DELETE MY DATA in the same Messenger, Instagram or WhatsApp thread you have been using. That thread is enough to identify you; you do not need to supply anything further.

We may ask one confirming question before we erase anything. That is a safeguard against someone else deleting your record, not an obstacle — we will not ask you to justify the request.

We acknowledge every request within 5 business days and complete deletion within 30 days of confirming your identity. When it is done we send you a written confirmation stating what was removed.

Deletion covers your enquiry record, your messaging history and any images you sent, in our own systems and in our customer relationship system. The language-model provider does not retain the text sent to it, so there is no separate copy there for us to reach. Backups are overwritten on their normal rotation, which completes within 90 days; a restored backup is never used to reinstate a deleted record.

Deleting your data ends our ability to continue coordinating any consultation in progress. If a booking is under way we will tell you what will stop, and you can decide whether to proceed.

Two categories fall outside what we are able to erase, and we would rather say so plainly than overstate what deletion covers.

• Records held by a partner clinic. If you went on to consult an independent clinic in Turkey, that clinic is a separate data controller under its own licence and Turkish healthcare law. We will tell you who to contact, but we cannot delete their records on your behalf.
• Data we are legally required to retain. Financial and transaction records are kept for the period tax and accounting law requires. These are not used for marketing or contact, and they are deleted when that period ends.

Copies of a conversation that remain inside Facebook, Instagram or WhatsApp are held by Meta under its own terms. Deleting your data with us does not remove the thread from your own device or account; you can delete it there yourself.

Deletion is one of several rights you hold. You may also request a copy of your data, ask us to correct it, object to how we use it, or withdraw a consent you previously gave — including the health-data consent described in our Privacy Policy. Withdrawing consent stops future processing; it does not make earlier processing unlawful.

Residents of the EEA and the UK hold these rights under the GDPR; residents of Virginia under the VCDPA; residents of California under the CCPA/CPRA. We apply the same process to everyone regardless of where they live.
