Terms of Service

By accessing or using the website astramedica.com, or by messaging one of the accounts we operate on Facebook Messenger, Instagram Direct or WhatsApp (together, the "Platform"), operated by Astramedica LLC ("Astramedica," "we," "us," or "our"), you agree to be bound by these Terms & Conditions ("Terms") and our Privacy Policy. If you do not agree, do not use the Platform.

You must be at least 18 years of age to use this Platform. By using the Platform or submitting any form, you represent and warrant that you are 18 years of age or older. If you are under 18, you are prohibited from using the Platform in any capacity.

Astramedica is a medical-tourism coordination platform. We connect prospective patients with vetted partner clinics and healthcare facilities in Turkey. Our services include consultation coordination, logistics assistance, travel planning, and concierge support.

Astramedica is NOT a healthcare provider. We do not provide medical advice, diagnosis, program recommendations, or any clinical services. We do not employ physicians, surgeons, or other medical professionals. All medical decisions, procedures, and programs are solely between you and the independent partner clinic you choose to engage with.

Under the Virginia Consumer Data Protection Act (VCDPA), health-related information is classified as "sensitive data" that requires your explicit consent before processing.

When you submit a consultation request through our Platform and select a medical service of interest, you may voluntarily provide information that relates to your health or medical interests. By checking the health-data consent checkbox on our consultation form, you explicitly consent to the processing of this information for the sole purpose of coordinating your medical consultation with partner clinics.

You may withdraw this consent at any time by contacting us at info@astramedica.com. Upon withdrawal, we will cease processing your sensitive data, though this will not affect the lawfulness of processing carried out prior to withdrawal.

Do NOT submit Protected Health Information (PHI), sensitive medical records, lab results, prescription details, or other confidential health data through any form, email, or communication channel on this Platform.

The Platform's public forms, email inboxes, and ordinary website communications are not HIPAA-compliant communication channels. They are designed for general inquiry purposes only. If your care requires the exchange of detailed medical records, our team will coordinate a secure, appropriate channel with the partner clinic.

This applies equally to Facebook Messenger, Instagram Direct and WhatsApp. Those are consumer messaging services operated by Meta; Astramedica is a coordination platform rather than a healthcare provider, and does not operate any public channel as a HIPAA-compliant channel. The AI assistance described in Section 8 does not change that — it is an internal tool applied to the same non-HIPAA channel, and it is not a reason to send us clinical records.

Astramedica disclaims all liability for any PHI or sensitive health data you voluntarily submit through the Platform.

The Platform itself carries no live or automated chat widget. Public communications are limited to website forms, email, the contact methods we expressly make available, and the messaging channels we operate on Facebook Messenger, Instagram Direct and WhatsApp.

• Use only the public contact methods listed on the Platform for first contact.
• Do not share PHI, medical records, or other sensitive health data through public forms, ordinary email, or the messaging channels.
• Enquiry submissions, messaging conversations, and follow-up correspondence may be logged and stored as described in our Privacy Policy for service delivery, fraud prevention, and recordkeeping.
• You may ask at any point that your conversation be handled by a person without AI assistance, and we will do so.
• Astramedica may suspend, ignore, or block abusive, automated, or unlawful communications.
• If detailed medical information is needed, Astramedica will direct you to a more appropriate channel with the relevant clinic.

When you submit a consultation request, your contact information and inquiry details may be shared with one or more partner clinics in Turkey that provide the services you are interested in. By submitting a consultation request, you explicitly consent to this data sharing.

Partner clinics are independent entities. Once your data is shared with a partner clinic, the processing of that data by the clinic is governed by their own privacy policies and applicable Turkish law. Astramedica is not responsible for the data practices of partner clinics.

By using the Platform, you agree to:

• Provide accurate and truthful information in all forms and communications.
• Not use the Platform for any unlawful, fraudulent, or abusive purpose.
• Not attempt to probe, scan, or test the vulnerability of the Platform or circumvent any security measures.
• Not use automated tools (bots, scrapers, etc.) to access or interact with the Platform without our prior written consent.
• Not submit any content that is defamatory, obscene, threatening, or otherwise objectionable.
• Comply with all applicable local, state, national, and international laws and regulations.

All content on the Platform—including text, graphics, logos, images, software, and design elements—is the property of Astramedica or its licensors and is protected by United States and international intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from any content on the Platform without our prior written consent.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, ASTRAMEDICA, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE PLATFORM OR ANY MEDICAL PROCEDURE OR PROGRAM OBTAINED THROUGH A PARTNER CLINIC.

ASTRAMEDICA'S TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR THE PLATFORM SHALL NOT EXCEED THE AMOUNT PAID BY YOU TO ASTRAMEDICA IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM, OR ONE HUNDRED DOLLARS ($100), WHICHEVER IS GREATER.

THE PLATFORM AND ALL CONTENT, SERVICES, AND FEATURES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

Astramedica does not warrant that the Platform will be uninterrupted, error-free, or secure, or that any defects will be corrected. We do not warrant the accuracy, completeness, or reliability of any content on the Platform.

You agree to indemnify, defend, and hold harmless Astramedica and its officers, directors, employees, agents, and affiliates from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) your use of the Platform; (b) your violation of these Terms; (c) any medical procedure or program you undergo through a partner clinic; or (d) your violation of any applicable law or the rights of any third party.

These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia, United States, without regard to its conflict-of-law principles.

Any disputes arising out of or relating to these Terms or the Platform shall be resolved exclusively in the state or federal courts located in Loudoun County, Virginia. You consent to the personal jurisdiction and venue of such courts.

We reserve the right to modify these Terms at any time. When we make material changes, we will update the "Last Updated" date at the top of this page. Your continued use of the Platform after any modifications constitutes acceptance of the updated Terms.

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.

Submitting a consultation request and speaking with our coordination team is free. There is no charge to enquire, to receive general information, or to complete an initial consultation.

If you decide to proceed, a coordination fee applies for the logistical coordination services Astramedica provides — such as travel and scheduling planning, accommodation and transfer support, translation, and post-journey follow-up. This coordination fee is separate from, and does not include, the clinical procedure itself, the independent physician's fee, or any amounts charged directly by a partner clinic.

The amount of the coordination fee is disclosed to you in writing before any payment is taken. We do not introduce hidden or surprise charges after you have committed.

Card payments are handled by our third-party payment processor, Stripe, Inc. Astramedica does not receive or store your full card number. Your payment is also subject to Stripe's own terms and privacy policy.

Clinical fees are set and collected by the independent partner clinic, not by Astramedica, and are governed by that clinic's own terms.

The coordination fee is non-refundable. However, if you proceed with your coordinated care, the full amount of the coordination fee is credited toward your coordination package.

The coordination fee secures scheduling and coordination work that begins promptly after payment. For that reason, it is not returned if you subsequently choose not to proceed.

Any clinical fees you pay directly to a partner clinic are governed by that clinic's own refund and cancellation policies. Astramedica does not control, administer, or issue refunds for clinical fees.

Charges appear on your card statement under a descriptor identifying Astramedica. If you do not recognize a charge, please contact us at info@astramedica.com before disputing it with your bank, so we can resolve it quickly.
